In MLS, you can easily upload documents - either just for you as a learning guide or visible to everyone, including your trainees.
Here you can find out how to insert files, share them with the right target group and update them if necessary.
This is very practical, as you already have ready-made PDFs, technical drawings as graphics or Excel files for your training programme, for example. You can integrate these directly into learning tasks via the document area.
As learning guides, you also have a shared pool of documents that everyone can access.
There are basically 3 areas for documents.
Documents -> Here you will find all documents from learning guides
Shared documents -> This is where trainees in particular will find documents that you have shared with them as a learning mentor.
Own documents -> Here you will find your own personal documents. Only you have access to them and can share them with individual trainees or groups.
🗃️ Types of files
You can upload the following files to MLS:
Images (*.png, *.jpeg, *.gif)
PDF files (*.pdf)
Office files (*.xls, *.xlsx, *.doc, *.docx, *.ptt, *pptx)
Videos (*.mp4, *.webm)
3-D images (*.mpf)
CSV files (*.csv)
Diagram files (*.spl7)
Databases (*.accde)
📁 Create and manage folders
In MLS, you can easily create a suitable structure for you as a learning guide and for yourself.
You can create folders and suitable subfolders with just one click.
You can also rename folders and subfolders at any time using ‘Edit’. You can also delete folders via ‘Remove’.
🔐 ‘Learning guide’ area - only visible to you
In your organisation, you will always find two folder areas - "Learning guide" and "All".
You can upload files to the folders you have created in Learning Guides, which are only visible to you as trainers. The advantage of this is that you can see which files are already available.
You can integrate the files directly via the learning tasks or as a link.
Step 1: Call up the folder icon
Step 2: Integrate the document directly or as a link
Note: Office files such as Excel, Word or PowerPoint can always be made available for download purely as a link. These are not displayed directly in the browser within MLS.
🌍 ‘All’ area - visible to all
If you want your learners to be able to see documents directly, use the ‘All’ area. This is suitable, for example, for
Information sheets
general information
Important contact persons - across organisations
checklists
All learners can access it at any time.
🗂️ ‘Shared documents’ area - for trainees & groups
This is where your learners in particular will find documents that you have shared with them as a learning guide. These could be documents that you always want to make available for a trainee group (e.g. contact persons, dates, etc.). The trainees can then find this via the corresponding tab under ‘Documents’.
You can find out how to share documents as a learning guide in the next section.
🔐 ‘My documents’ area - manage and share your documents
Here you can upload documents that only you as a learning guide can see or that you want to share with certain learners or a group.
To share with others, click on either the folder or the file. The share icon will then appear.
You can decide whether you want to make the folder or files available to specific trainees or a group.
🔄 Replace documents
Have you updated a document or want to upload a new version? No problem - you can easily replace existing files without deleting or relinking them.
Select the document and upload the new one. It will then be updated directly in the documents area and in all learning tasks to which it is linked.
