With MLS, you can quickly and easily convert existing PDF documents into digital learning activities using artificial intelligence (AI). The built-in AI analyses the content of your PDF files and helps you create learning activities efficiently.
There are two different options available to you:
🎓 Extract learning objectives from a PDF and create a new learning activity from them
📄 Import a PDF 1:1 as a learning activity
The first option is particularly suitable for creating modern, learning-objective-oriented learning tasks. The second option allows you to quickly import existing training materials into MLS. 🚀
🤖 AI support in MLS
The creation of learning tasks from PDF files is based on an integrated AI feature in MLS.
The AI can:
✅ Analyse content from PDF files
✅ Organise text in a structured manner
✅ Automatically identify and formulate learning objectives
✅ Generate complete learning tasks based on learning objectives
✅ Convert existing documents into digital learning tasks
The AI serves as a support tool for learning facilitators and does not replace a subject-specific assessment.
⚠️ All generated content must always be checked for accuracy, completeness and up-to-date status before publication and use.
🎓 Option 1: Create learning objectives from a PDF
This feature is particularly useful if you want to develop modern, goal-oriented learning tasks from existing training materials.
The AI analyses the PDF file and automatically suggests suitable learning objectives. A complete learning task can then be created based on these learning objectives.
Here’s how to do it:
1️⃣ Create a learning task
In MLS, go to the ‘Task Management -> Learning Tasks’ section. Click on ‘Generate with AI’.
2️⃣ Select the ‘Create list of learning objectives’ option & upload your PDF
Select the first option here and upload your PDF file. It is important that you also tick the box regarding AI and confirm your selection.
3️⃣ Select learning objectives & type of explanation
Thanks to AI, your PDF file is analysed for learning objectives. These are displayed to you, and you can deselect any that are not required.
You can also specify how in-depth the learning task should cover the topics. The following options are available:
Outline the main idea
Explain the key points
Highlight the details
You can also use the ‘Didactic extension’ option to decide whether AI should generate specific transfer scenarios and examples. If not, only the content of the PDF will be used.
Finally, you can specify the language level and the style of address (direct/factual).
Once you have set everything, simply click on ‘Generate’.
4️⃣ Learning task is being generated
Generating the learning task may take a while, as the AI is creating a significant amount of content for it. Please do not refresh the page during this time, as this will cause the AI process to restart.
The learning task is always created using the complete action model.
Of course, you can still adjust everything in the learning task and add further content (e.g. images, videos, drawings) if required.
Once you feel the task is complete and ready, you can move it to the learning task pool as usual. It is then ready for you or your colleagues to assign to the learners.
📄 Option 2: Convert PDF 1:1 into a learning activity
This feature uses AI to analyse the content of your PDF file and convert it into a learning activity that remains as faithful to the original as possible.
This option is particularly suitable if you already have a well-structured document and want to make it available quickly as a digital learning task in MLS.
Here’s how to do it:
1️⃣ Create a learning task
In MLS, go to the “Task Management -> Learning Tasks” section. Click on “Generate with AI”.
2️⃣ Select the ‘Convert PDF to assignment’ option & upload the PDF
Select the second option here, upload the PDF file and click on the AI prompt.
3️⃣ Learning task is generated
The AI generates an MLS learning task from your PDF that is as closely aligned with the original file as possible.
Of course, you can customise these further. Once you’ve finished creating the learning activity, you can add it to the learning activity pool. It will then be available to your learners once it’s been assigned.
That’s how easy it is to create learning activities in MLS if you already have some great materials.
💡 Best practices for learning facilitators
✅ Use well-structured PDFs
The clearer the structure of the source file, the better the AI can recognise content and learning objectives.
Ideally, your PDF file should:
Not be too long: Generally speaking, it should be no more than around 30 pages.
If you have a file with more than 30 pages, you can split it into smaller sections using the ‘Print to PDF’ function, for example.
Images in the PDF should be sufficiently clear so that they can be easily recognised. Scanned images, for instance, are difficult to extract.
A table of contents helps ensure that clear task steps can be generated from the file for the learning activity.
Legal notice: In both cases (creating a new learning task from a PDF or copying it verbatim), you must hold the rights to the PDF file. Please ensure that you have acquired the relevant rights of use and, where applicable, exploitation rights.
✅ Check learning objectives before generating content
Even if the AI provides suitable suggestions, you should check whether the learning objectives:
are appropriate for the target audience
are factually correct
cover the desired scope of learning
✅ Test learning activities before publication
In particular, check:
🔍 Subject-matter accuracy
🔍 Clarity of the task descriptions
🔍 Completeness of the content
✅ Use AI as a support tool
AI supports you in creating learning tasks and saves time when preparing content. However, the subject-matter responsibility and quality control remain with you as the learning facilitator.
